Equipment Rental Process

As a student staff member of any publication within UA Student Media, you can check-out equipment for department use.  To begin this process, follow these steps:

Send an email to UA Student Media at studentmedia@ua.edu. Include the following information in your email:

  • Name
  • Publication you are a student staff member of
    • (i.e., Alice Magazine, The Crimson White, WVUA-FM radio station, etc.)
  • Equipment you would like to check-out (camera, mic, recorder, etc.)
  • Brief explanation of what you will be using the equipment for
    • (i.e., camera for photo shoot for Alice Magazine; or taking photos of an event for The Crimson White; or an interview for WVUA-FM radio station, etc.)
  • The day(s) and time(s) you would like to check the equipment out
    • (ex: camera on Monday, August 23, 2021 at 10:00 am and return it on Tuesday, August 24, 2021 at 2:00 pm.)
    • Please note that equipment is checked out for one-day at a time to ensure that all student staff members have an opportunity to use the equipment. Exceptions do apply and can be discussed at checkout.

Once your email is received, you will be sent an invitation from Cheqroom. This invitation will ask you to provide your name, CWID, what publication (Media) you work with, the academic term and agreeing to the Equipment Rental Agreement.  UA Student Media receives this form so we can check equipment out under your name.  This will also allow you to view equipment our office has available for rental.

Once you submit this form, our office will begin the process of checking the equipment out to you.

You will be sent an email from Cheqroom that the equipment has been Reserved/Checked Out for you. This email will indicate the equipment, date and time of pick-up and when it is to be returned.

You will also be sent reminder emails from Cheqroom when the equipment is to be returned and/or when it is late.

When picking up the equipment, you will need to show ID.

Our office is open Monday – Friday, 8:00 am – 5:00 pm.  In order to fill requests and check over the equipment, we ask that when you need to check-out equipment or when it is being returned, to do so by 4:45 pm.
